Historic Bethlehem Museums & Sites Vendor Program
Historic Bethlehem Museums & Sites partners with outstanding local businesses that support our mission, events, and preservation work. This vendor program provides meaningful visibility to service providers - while reinforcing trusted vendor relationships for visitors, event clients, festivals, tours, and community programs.
This program integrates with the HBMS Corporate Membership program, allowing vendors to apply eligible corporate membership dollars toward their vendor tier.
Vendors may contribute a portion of their participation fee at certain levels through trade contributions (donated services and/or materials), which will be credited at fair market value.

Corporate Membership ProgramVendor Categories Required vs. Preferred
Required Vendor Categories
These services are critical to operations, safety, and site standards. Clients must select one vendor from each required category for their event. Required vendors may also purchase marketing/visibility packages to increase exposure, but client selection is limited to approved vendors in each category.
HBMS Required Categories:
- AV/Production – lighting, sound, staging
- Security – licensed personnel to ensure guest and property safety
- Catering/Food & Beverage
- Insurance/Liability Coverage – event insurance required by HBMS
- Setup/Furniture/Rentals – tables, chairs, and in-house equipment
- Cleaning/Janitorial – post-event cleanup to protect the site
- Rental Companies – linens, specialty furniture, decor
- Portable Restrooms
Preferred Vendor Categories
These services are optional but recommended. Clients may choose any vendor in these categories, including vendors not currently in the program, provided the vendor meets HBMS criteria. Preferred vendors can purchase higher tiers to increase visibility and priority consideration for events.

- Florists/Event Designers
- Photographers/Videographers
- Musicians/DJs/Entertainers
- Event Planners/Coordinators
- Transportation (limos, shuttles, buses)
- Bakeries/Specialty Cakes
In-Kind/Trade Contribution Policy
Vendors may fulfill a portion of premier vendor tiers through product or service donations, including:
- Product donation/trade: Donated materials, merchandise, or goods provided to HBMS for use in events, programming, or promotions.
- Service donation/trade: Donated labor, professional services, or expertise provided to support HBMS events, programs, or site operations.
These contributions are credited at fair market value toward the vendor’s participation level, reducing the cash portion of the tier. Final allocations must be approved by HBMS staff to ensure alignment with organizational needs.
Important: These product or service donations are for vendor participation purposes only and do not constitute a tax-deductible charitable contribution.
